Clear Transcribe AI by Hill Tribe Solutions, Inc.
Hill Tribe Solutions, Inc. (“Clear Transcribe AI,” “we,” “us,” or “our”) built Clear Transcribe AI to caption conversations for people who are deaf or hard of hearing. That means the app hears things that matter — medical appointments, classes, worship services, family conversations, work meetings. We take that seriously, and this policy explains what happens to that information.
This policy covers the Clear Transcribe AI website, our web and mobile apps, and the services provided through them (together, the “Services”). It is incorporated into our Terms of Service.
Hill Tribe Solutions, Inc. is the controller of the information described here. We are a California corporation, and information is processed in the United States.
1. Our Privacy Commitments
- We do not record or store your audio. There is no audio recording feature in the app.
- We do not use your conversations to train AI. We never use your audio, captions, or saved transcripts to train or improve any model of ours. How our speech recognition provider handles audio is covered in Section 2.
- We do not sell or share your personal information, as those terms are defined under California law, and we never have.
- We show no advertising, and we run no advertising or analytics tracking in the app or on our site.
- We do not track you across other websites or apps.
- We do not ask about your disability, hearing profile, or medical history, and we do not infer them.
- You can delete your account and everything in it, permanently, at any time.
2. Audio and Captions
Your microphone. The app uses your device’s microphone only while a captioning session is running. Stopping or pausing a session stops the capture, and you can revoke microphone permission at any time in your device settings.
Your audio. We do not record your audio, store it, or keep any copy of it. We could not produce a recording of your session if we were asked to. Our speech recognition provider’s handling of audio is described immediately below.
Speech recognition. Audio is processed by a third-party speech recognition provider acting on our instructions. That processing takes place in the United States.
Under that provider’s published terms, a small sample of audio may be retained by the provider and used to improve the accuracy of its speech recognition models, and the provider may hold that sample for as long as it needs for that purpose. We do not receive that sample, we have no access to it, and we do not use it ourselves. This applies to captioning generally and is a condition of using the Services. If you are not comfortable with it, please do not use the Services.
No voiceprints. We do not create, store, or match voiceprints, and we do not identify speakers against any database. Where speaker labels appear, they separate one voice from another within a session and do not identify anyone unless you type a name yourself.
Caption text. Captions appear on your device as they are produced. Caption text is stored by us only when you save a transcript, which is your choice, or for the duration of an event broadcast. On the free plan, captions exist for the current session only and are not retained afterwards.
Temporary copies on your device. While a session is running, a temporary copy of your captions may be kept on your own device so that a dropped connection or an expired sign-in does not destroy work in progress. It clears automatically after a short period, and you can clear it yourself from within the app.
Captions can be sensitive. Because captions record what was said, they may reveal health, religious, financial, or other sensitive matters. We treat saved transcripts as confidential. We do not read, mine, analyze, or profile them, and we do not use them to infer anything about you.
3. Information We Collect
Information you give us: your email address, your name or display name, titles you give saved transcripts, custom vocabulary you add, your app preferences, anything you submit through the account deletion form, and anything you write to us directly.
Information created by using the Services: saved transcripts and their caption text, records of your captioning sessions and how much time they used, your plan and remaining allowance, and records of passes and purchases.
Information collected automatically: ordinary web request information, including IP address, device and browser type, and timestamps, processed to deliver the Services, diagnose faults, and prevent abuse. We run no analytics or advertising technology — no Google Analytics, no tag managers, no advertising pixels, no social media widgets.
Information from third parties: when you buy a plan or pass, the app stores and our subscription provider confirm that the purchase is valid and tell us what you bought and when it renews or expires. We never receive or store your card number, bank details, or billing address.
4. Event Broadcasts
If you host a broadcast, the captions being shared are stored only for as long as the broadcast is running and are cleared when it ends.
If you view a broadcast, you do not need an account, and we do not ask for your name, email, or any other identifying detail. We do not set advertising or tracking cookies on the viewer page. Viewers are counted in a way that does not identify them and does not outlive the broadcast. The host can see how many people are watching, not who they are.
Access codes for broadcasts are not stored in readable form.
5. How We Use Information
We use information to provide the Services and produce captions; to create and authenticate your account; to measure usage, apply your plan allowance, and verify purchases; to send you service messages about your account; to maintain security and prevent fraud and abuse; to diagnose faults and improve reliability; and to meet our legal, tax, and accounting obligations.
We do not use your information for advertising, profiling, or automated decision-making that produces legal or similarly significant effects.
Legal bases (EEA and UK users). We rely on performance of a contract to provide the Services, manage your account, and handle billing; legitimate interests for security, abuse prevention, and service reliability; consent for microphone access and the processing of speech content, which you may withdraw at any time; and legal obligation for tax and record-keeping. Where captions reveal special category data under the GDPR, we process it solely on the basis of your explicit consent, given by choosing to caption and to save.
6. Who We Share Information With
We do not sell your information and we do not share it for anyone else’s marketing. We disclose information only to service providers who need it to operate the Services, each under contract and only for that purpose. They fall into these categories:
- Speech recognition — to convert speech to caption text; may retain a small sample of audio, as described in Section 2
- Hosting and infrastructure — to run the Services, store your data, authenticate your account, and send service email
- Subscription and purchase verification — to confirm a purchase is valid
- App stores and payment processing — Apple and Google, who process payments under their own privacy policies
- Mobile app distribution — to package and deliver our iOS and Android apps
- Content delivery — to serve files that make up the Services
A current list of the specific providers in each category is available on request using the details in Section 15.
We may also disclose information to comply with law, in response to valid legal process; to protect against fraud, abuse, or imminent harm to any person; and in connection with a merger, acquisition, or sale of assets, in which case we will require the acquirer to honor this policy or give you notice and a choice first. Where we receive a legal demand for your information, we will seek to notify you unless prohibited from doing so.
7. Cookies and Local Storage
We use the minimum necessary, and none of it is for advertising.
- A strictly necessary authentication cookie, which keeps you signed in.
- Local storage on your device, which holds your in-progress caption draft and your interface preferences, and stays on your device.
We set no advertising cookies, no analytics cookies, no cross-site tracking, and no social media widgets. Because we do not track across sites and do not sell or share personal information, there is no behavioral advertising to opt out of. We honor Global Privacy Control signals to the extent they apply.
8. How Long We Keep Information
- Audio — never stored by us. A small sample may be retained by our speech recognition provider, as described in Section 2.
- Temporary caption drafts on your device — cleared automatically after a short period, or sooner if you clear them.
- Broadcast captions — only for the length of the broadcast.
- Saved transcripts, custom vocabulary, and preferences — until you delete them or delete your account.
- Account, plan, usage, and purchase records — for the life of your account, and afterwards only as needed for tax, accounting, and dispute records.
- Account deletion requests — kept after the deletion is carried out, as our record that the request was made and honored. This record contains the name and email you submitted.
- Server logs — for a limited period, for security and troubleshooting.
Account deletion. You may request deletion at any time from within the app, from the account deletion page, or by writing to us. On a verified request, your account and the information associated with it — including your saved transcripts, custom vocabulary, preferences, session and purchase records, and sign-in credentials — are permanently deleted within 30 days. It cannot be undone.
We may keep limited information after deletion where the law requires it, and residual copies may persist briefly in encrypted backups before being overwritten on their ordinary cycle.
9. Your Choices
You can delete any saved transcript, export a transcript to keep your own copy, clear temporary drafts from your device, edit or delete your custom vocabulary, revoke microphone access in your device settings, cancel a subscription in your Apple or Google account settings, and delete your account entirely.
We send very few emails, and only about your account. We do not send marketing email. If we ever introduce it, it will be opt-in with a working unsubscribe link.
10. Your Privacy Rights
California residents. In the past twelve months we have collected these categories of personal information for the purposes in Section 5, from the sources in Section 3, and disclosed them only to the service provider categories in Section 6: identifiers (email, name, account identifier, IP address); commercial information (plan, passes, purchase records); internet and network activity (usage records, server logs); audio and electronic information (caption text you choose to save); and sensitive personal information (the contents of communications, to the extent captions record what was said).
We do not sell personal information and we do not share it for cross-context behavioral advertising. We have never done either. We use sensitive personal information only to provide the service you asked for — never to infer characteristics about you.
You have the right to know, access, correct, delete, and obtain a portable copy of your personal information, and to limit the use of sensitive personal information. We will not discriminate against you for exercising these rights. You may use an authorized agent, and we may ask you to verify your identity, typically by confirming control of the email address on the account. We do not disclose personal information to third parties for their own direct marketing purposes.
EEA, UK, and Switzerland. You have the right to access, rectify, erase, restrict processing of, and port your personal information, and to object to processing based on legitimate interests. Where processing rests on consent, you may withdraw it at any time. You may lodge a complaint with your local supervisory authority.
Other U.S. states. Residents of states with comprehensive privacy laws — including Colorado, Connecticut, Virginia, Utah, Texas, Oregon, and Montana — have comparable rights to access, correct, delete, and obtain a copy of their information, and to appeal a refused request. We do not sell personal data or use it for targeted advertising or profiling in furtherance of decisions producing legal or similarly significant effects.
How to exercise your rights. Most are available directly in the app. For anything else, write to us using the details in Section 15. We respond within the time required by law — generally 45 days in the United States and one month in the EEA and UK.
11. Children’s Privacy
The Services are not directed to children under 13, and we do not knowingly collect personal information from them. If you are under 13 you may not use the Services. If you are under the age of majority where you live, you may use them only with a parent or guardian’s involvement.
If we learn we have collected information from a child under 13, we will delete it promptly. If you believe a child has provided us with information, contact us and we will act on it.
12. Schools and Student Privacy
Where a school or district adopts the Services for students, we act as a school official with a legitimate educational interest under FERPA, processing student information only on the institution’s instructions and only to provide communication access. We do not use student information for advertising or profiling, do not sell it, and do not use captions to train AI. On the institution’s request we will delete or return the student information we hold; note that this does not extend to any audio sample retained by our speech recognition provider under Section 2, which is outside our control. Parents and eligible students should direct FERPA requests to the institution, which controls the education records. Where a school directs a child under 13 to use the Services, the school is responsible for any parental consent required under COPPA.
13. Security
We protect information using administrative, technical, and physical safeguards appropriate to its sensitivity, including encryption in transit, restricting access to production data to personnel who need it, and not storing audio at all — which removes the largest category of risk outright.
No system is perfectly secure. We cannot guarantee the security of information transmitted to us. Protect your account by keeping access to your email secure and signing out on shared devices, and contact us immediately if you believe your account has been compromised. If a breach affecting your personal information occurs, we will notify you and the relevant authorities without undue delay and as required by law.
14. International Users
We are based in the United States, and information is processed there. If you use the Services from outside the United States, you are transferring your information to the United States, where privacy laws may differ from those where you live. Where we transfer personal information out of the EEA, the UK, or Switzerland, we rely on appropriate safeguards, including the European Commission’s Standard Contractual Clauses and the UK Addendum.
15. Changes and How to Contact Us
We may update this policy from time to time. The current version is always posted here with the date it was last updated. If a change is material, we will give you notice — by email or in the app — before it takes effect where we reasonably can. Continued use after a change takes effect means you accept the updated policy. Summaries of this policy generated by third-party tools have no legal effect.
